Position: Executive Assistant
Salary: $40,000-$45,000

RESPONSIBILITIES:
• Maintains CMO calendar that includes scheduling internal and external meetings, and telephone conferences, in addition schedules internal meetings for Director and Sr. Marketing Managers when needed
• Organizes all meeting logistics that includes booking meeting rooms, ordering food, setting up meeting rooms, coordinating overhead projector, photocopying, assembling and distributing presentation documents, and taking minutes
• Assists whole team with creating PowerPoint presentations which includes, editing, customizing, inputting animation and graphics/pictures when necessary and compiling final presentation
• Completes expense reports that includes coding and signing for CMO, Director and Sr. Marketing Managers
• Coordinates travel logistics for the whole team that includes booking flights, hotels, and transportation
• Oversees and acts as the point person on the PH Book It Program that include ordering materials, sorting materials, shipping materials to franchisees and liaising with franchisees
• Organizes team offsites or activities when required
• Maintains office supplies for the team that includes couriers, ordering office supplies, and filing
• Distributes and sorts internal and external mail for the whole team
• Acts as the liaison between Marketing and other departments and responds to internal/external inquiries from customers or agencies
• Participates as a member on the Share the Wealth Committee
• Participates as a member on the Social Committee
REQUIRED QUALIFICATIONS:
• Must have Executive Assistant experience
• High school diploma required, college/university degree is preferred
• Minimum of three to five (3-5) years experience in a similar capacity, preferably supporting a VP level in a Marketing department
• Excellent knowledge of Excel, Word, Outlook with very strong skills in PowerPoint
• Proficiency in creating presentations and spreadsheets, ability to create, edit, and proofread communications ensuring grammatical correctness
• Strong oral and written communication skills/interpersonal skills, including a professional telephone manner
• Strong attention to detail
• Excellent organizational skills, ability to multitask with several priorities
• Flexibility, high-energy level, drive for results
