Description

Our client has an immediate opening for an Executive Assistant. The right candidate will assist the Officer in effectively managing their workload and time. The candidate will also provide back up support to other officers and executives as required.

Qualifications

• 5+ years experience performing administrative duties at the executive level
• Excellent computer skills in Word, Excel, PowerPoint, Outlook, Lotus Notes (email & calendaring) and Internet
• Project management experience and flexibility
• Strong organizational, written and oral communication skills in order to deal with all levels of the organization
• Must recognize matters of great importance and matters of confidentiality and handle them discreetly, promptly and accurately
• Excellent organizational and administrative skills, discretion and tact, problem solving, customer service focus, strong telephone and people skills, logical, demonstrate good judgment
• An attitude of independence, urgency, getting things done well, being a great team player and always looking for more challenges
• Ability to be flexible to demands on time
• The ability to function productively with little supervision

Duties

• Screen and prioritize all incoming mail and calls, and handle/pass on to suitable personnel when required
• Arrange meetings, travel and telephone or videoconferences and screens calls
• Keep informed of ongoing concerns and issues and prioritize in order to ensure urgent issues are dealt with
• Key contact for clear communication and understanding of information with internal and external clients, while providing reliable and timely resolution to inquiries
• Co-ordinate and assemble all material for Officer's schedule/speaking engagements, etc.
• Schedule and maintain accurate calendar of meetings using current technologies
• Prepare and submit expense accounts for reimbursement
• Prepare various correspondence in a variety of formats including presentations, financial reports and special projects
• Gather information/research assignments as they are assigned
• Maintain follow-up system for tracking purposes of documents, etc.
• Back-up support to other Officers and Executives as required
• Special projects as assigned
